The Program Coordinator will be responsible for project management activities which include implementing project action plans and deliverables, managing project work and teams, developing project communication schedules and statuses. This role with work with and influence all levels of the organization including senior leadership.


  • Create and execute project work plans and conduct all project changes, procedures and approval tasks as appropriate to meet changing needs and requirements
  • Manage day-to-day program priorities and communications that support and enable internal and external audiences
  • Write and edit training materials as well as schedule training/follow-up classes
  • Providing administrative support to the CRM team in the development and implementation of programs
  • Deliver targeted and timely internal follow-up communications that provide team updates, program changes and enhancements
  • Assess, prepare and present project implementation schedules for stakeholder evaluation and approval
  • Assist with implementations which require knowledge transfer, SME development or business program absorption to the appropriate business stakeholders
  • Provide regular reports based on documented Communication Plans (Stakeholder Communications, Status Reports, Project Snapshot, etc.)
  • Ensure all project team members are on schedule and ensures appropriate and timely information to all relevant parties regarding project status
  • Develop and maintain effective working relationships with key internal business partners, including all levels of company management, as well as personnel from multiple cross-functional departments
  • Ensure project documents are complete, current, and stored appropriately


  • Proficient in Microsoft Office, with a focus in Excel, Word and Outlook
  • Excellent verbal and written communication skills – grammar skills are paramount
  • Detail-oriented with strong organizational skills
  • Ability to multi-task and switch between tasks quickly and efficiently
  • Must be flexible and be able to prioritize tasks
  • Ability to work independently
  • Minimum 3 years of experience preparing corporate communications

Travel Requirements:

  • Possible light travel required (10%)


  • Bachelor’s degree in Communications or related field

  • Understanding of timeshare industry, products, and clubs

  • Exceptional organizational and interpersonal skills
  • Demonstrated analytical, problem solving, and trouble-shooting skills
  • Excellent presentation skills with strong ability to present both qualitative and quantitative information in a clear, concise and persuasive manner to all levels of the organization
  • Demonstrated understanding and application of management approaches for work direction, motivation, performance management, consultation, including influencing without authority
  • Ability to manage staff in multiple locations (possible light travel required)

  • Strong working knowledge of business systems
  • Knowledge of Six Sigma, TQM (total quality management) or other process improvement methodologies preferred
