Administrative and Clerical Recruiting

At 4 Corner Resources, most administrative searches end with one candidate: the person we’d hire ourselves.

The right administrative professional keeps everything moving behind the scenes, and the gap is obvious the moment the role goes unfilled. We maintain an active network of pre-screened administrative and clerical talent, so the sourcing, screening, and reference checks are done before a resume reaches you. When we’re confident we have the right person, we send that one candidate and stand behind the recommendation.

Your Recruiting Challenges, Solved

Administrative and clerical roles look simple to fill until you try. The U.S. Bureau of Labor Statistics projects roughly 358,300 openings for secretaries and administrative assistants every year, and a single posting can draw hundreds of applications. Only a handful come from people with the reliability and attention to detail the job actually needs, and finding those few costs your team hours it doesn’t have. When a rushed hire turns out to be the wrong one, it shows almost immediately, in missed deadlines and dropped details.

The cost of an empty desk

When one of these roles sits open, the work doesn’t pause. Calls go unanswered and files pile up while the people around that role cover the gap on top of their own jobs. The longer it stays open, the more the strain spreads across the team.

What working with 4CR looks like

You stop sorting through applications that go nowhere and spend your time on candidates worth interviewing. You get a partner who’s already done the screening, so the administrative professional who reaches you is dependable and ready to start. Most clients come back for their next opening because the first one went the way it should have.

Ultimately, It’s About Results

Submit to Hire Ratio

The industry standard is to submit 4 or more candidates per hire. We average 1.78, because the screening and qualifying happen before you ever see a name.

Interview to Hire Ratio

A 1.41 interview-to-hire ratio means your team spends interview time on people who’ve already cleared a rigorous screen. The evaluation happened on our end first.

Client Retention Rate

Nearly every company that brings us an administrative search comes back for the next one. The placement worked, the candidate delivered, and there was no reason to look elsewhere.

Average Time to Fill

Administrative roles can take weeks to fill through a standard hiring process. 4CR clients see qualified administrative candidates in an average of 3.5 days, because our network is active and pre-screened before your role opens.

Why Partner With 4CR

Recruiters who know administrative hiring

Our recruiters know the difference between a candidate who can keep a busy office organized and one who only looks the part on paper. In administrative hiring, the resume is often the least reliable signal. The qualities that make someone strong in these roles, like catching a small mistake before it becomes a real problem, or staying calm when everything needs doing at once, rarely fit on a page. We screen for those, alongside the practical skills each role needs, from calendar and inbox management to the software your team uses.

A pipeline that exists before you call

We keep an active, continuously screened network of administrative and clerical professionals, so a sudden departure or a new opening doesn’t start a search from zero. You see qualified candidates in days, not weeks.

A transparent process and no surprises

From the first conversation to the accepted offer, you know exactly where your search stands, what we’re seeing in the market, and what we’re doing about it. No black holes and no chasing us for an update, ever.

One point of contact who owns the search

You work with one dedicated 4CR team member who owns your search from the intake call to the start date. They learn your team and your standards, they’re reachable when you need them, and your search never gets set aside for a bigger account.

A track record built on this exact work

We’ve built a deep network of administrative and clerical professionals over the years, and some of our longest client relationships are built on filling exactly these roles, from data entry and mailroom teams to credentialing and support coordinators. Across every field, we’ve made more than 16,750 placements in 20 years, with recognition from Forbes, Business Insider, and Inc. 5000. The point that matters most is simpler: nearly every client who works with us comes back.

Our Staffing Solutions

Direct hire

For a permanent hire that your operation will lean on every day, direct hire is how you get it right the first time. We own the search from sourcing through the offer and present only candidates ready to step in from day one.

Executive search

For senior administrative leadership, like a VP of Administration or a chief of staff, executive search reaches candidates who aren’t on the job market. We identify and approach them through direct outreach and discreet networking, and present only those who match the role and your organization.

Contract staffing

Administrative needs rarely arrive on a schedule. When someone goes on leave, a project piles on more work than your team can absorb, or you’re covering a busy season, contract staffing puts a vetted professional in place on a defined timeline, with 4 Corner handling pay, taxes, and compliance so your team stays focused.

Contract-to-hire

In a support role, reliability and fit are hard to judge from an interview. Contract-to-hire lets you see how a person handles your actual workload and works with your team before you commit. When you’re confident in the match, the move to permanent is simple.

For high-volume or ongoing administrative hiring, ask us about recruitment process outsourcing (RPO), our most comprehensive solution.

How Our Administrative and Clerical Recruiting Process Works

Placing the right administrative professional starts with understanding how your office actually operates, then holding every candidate to that standard before you see them. Here’s the process from the first call to the first day.

Schedule a 30-minute intake call

We start with a real conversation about the role, your team, and the day-to-day work the person will handle. We ask about the software you use, the pace of your office, and the qualities that make someone succeed in your specific environment. The depth of this call is what separates a search that delivers the right person from one that delivers a pile of resumes.

What you can expect: A thorough discovery call covering the hard requirements, the working style that fits your team, and the markers that define a reliable hire.

Build the candidate profile

Everything from the intake call becomes a detailed profile that defines the skills, experience, and fit markers every candidate is measured against for the rest of the search. The profile keeps us from sending you someone who’s close when the right person is still out there.

What you can expect: A clearly defined search target built before sourcing begins.

Source candidates from our network

Our recruiters work several tracks at once. We start with our pre-screened network of administrative and clerical professionals, add targeted outreach to people who fit your role but aren’t actively looking, and use job boards to widen the pool. The combination lets us move faster than a search that starts from scratch.

What you can expect: A proactive search that reaches active and passive candidates alike, well beyond what a job posting would surface.

Screen and interview every candidate

Every candidate who advances gets a structured screen and a live interview with our recruiting team. We test for accuracy, dependability, software proficiency, availability, and fit against the profile we built with you. By the time someone reaches you, the filtering is done.

What you can expect: Only the candidates who passed every check, so your interviews are about choosing rather than screening.

Verify with manager-level reference checks

Before any candidate reaches you, we speak directly with the managers who supervised them, confirming their reliability, their work quality, and how they performed under real pressure.

What you can expect: Verified, manager-level confirmation of every candidate’s track record before you spend time on an interview.

Present candidates with our assessment

We present the candidates who meet your criteria along with our honest read on each: strengths, fit, and the specific reasons we believe they’re right for the role. We coordinate interview logistics so nothing slows the search down.

What you can expect: Fully screened candidates who are seriously interested in the role and ready to contribute from day one.

Manage the offer and onboarding

Once you’ve chosen, we work with your team to structure the offer, handle any negotiation, and prepare your new hire for their first day. We stay involved through acceptance, paperwork, and the start date.

What you can expect: End-to-end support from the offer through onboarding, so nothing slips between a verbal yes and day one.

Check in after the placement

We stay in touch with you and your new hire after the start date, with check-ins at set intervals to confirm the placement is working.

What you can expect: A recruiting partner who stays engaged after the hire, because a placement only counts when it lasts.

FAQs

What administrative and clerical roles do you fill?

We place across the full range of administrative and clerical work, from executive and administrative assistants to office managers, receptionists, data entry specialists, schedulers, and records staff. If you don’t see your role in the list above, ask us. The list is a sample, not a limit.

Where do you place administrative professionals?

We’re based in Orlando and recruit nationwide. We’ve placed administrative and clerical talent in more than 100 cities across the country, so your location isn’t a limit on the candidates we can reach.

How quickly can you fill an administrative or clerical role?

For most administrative roles, you’ll see qualified candidates within a few business days, depending on the specifics of the role and your hiring process. Urgent contract needs can often move within 24 to 48 hours because our network is pre-screened before your role opens.

Will I still be involved in the interview and selection?

Completely. We narrow the field to the candidates worth your time, but the interviews and the final decision are yours. We don’t place anyone without your sign-off.

Can you handle both temporary and permanent administrative staffing?

Yes. We support contract, contract-to-hire, and direct hire, so you can bring in short-term coverage for a project or busy season, or hire a permanent member of your team, whichever the situation calls for.

What does it cost to use an administrative staffing agency?

For direct hire, 4CR charges a percentage of the candidate’s first-year base salary. We offer two structures: traditional at 20%, paid at start with a 30-day replacement guarantee, or pay-as-you-go at 18%, billed in three installments over 90 days. Contract and contract-to-hire engagements are billed at an all-inclusive hourly rate covering the worker’s pay, taxes, benefits, workers’ comp, and our recruiting fee. No hidden costs, no volume commitment required.

What happens if a hire doesn’t work out?

Our traditional direct hire fee includes a 30-day replacement guarantee. If the placed candidate leaves or is released for performance reasons within the first 30 days, we run a replacement search at no additional cost. Pay-as-you-go works differently: you stop paying the remaining installments when the candidate leaves. Contract placements can be ended at any time and are billed only for hours worked.

Do we need to commit to multiple roles?

No. There’s no minimum. Many of our strongest administrative client relationships started with a single search.
