What Does a Salesforce Administrator Do?
A Salesforce administrator, often called a Salesforce admin, configures and maintains a company’s Salesforce org so the sales, service, and marketing teams can use it every day. Admins manage users, profiles, and permission sets, build reports and dashboards, automate processes with Flow, keep data clean, and train users on new features. They work at companies of every size that use Salesforce, inside IT, sales operations, or revenue operations. Most employers ask for 2 or more years of hands-on admin work and the Salesforce Certified Platform Administrator credential; a bachelor’s degree is common but rarely required.
The title gets mixed up with a few similar roles. A Salesforce developer writes Apex code and Lightning Web Components for the work declarative tools cannot do, while the admin builds with point-and-click tools and Flow. A CRM specialist usually works inside the system on data entry, list pulls, and campaign records without owning its setup. A business systems analyst gathers requirements and writes specifications across several platforms, and in a small company the Salesforce admin does both jobs.

Hiring a Salesforce Administrator: What to Expect
Salesforce admins come from three main paths: accidental admins who started in sales operations or customer support and took over the org, consultants from Salesforce implementation partners, and career changers who studied on Trailhead and passed the certification exam. Screen for the size and clouds of the orgs they managed, the most complex Flow they built from scratch, and how they test changes in a sandbox before deploying. A useful check is to ask them to explain the difference between a profile and a permission set and when they would use a permission set group; an experienced admin answers in a minute, and a candidate who only holds the certificate usually hesitates.
A frequent problem with Salesforce administrator postings is a developer job under an admin title. Postings that list Apex, Visualforce, and integration builds alongside user management attract admins who cannot do the code and developers who will not accept admin pay. Decide whether the role is declarative or code-based, list the clouds and the size of the user base, and if some light code is part of the job, say how much and who reviews it.
A posting for this role should say whether the hire will migrate legacy Workflow Rules and Process Builder automation to Flow, which Salesforce clouds the company licenses, and how many users the org supports. It should also state whether Agentforce or other Salesforce AI features are in scope and who approves the data access and security settings for them.
