Job Summary:

The Executive Assistant is responsible for assisting the President, CFO and General Counsel with smooth work flow and time planning for each area with a high level of confidentiality, uses strong interpersonal skills to manage customer and other inquiries or interactions. Perform complex secretarial work of an administrative nature and works with minimal instruction or supervision. May make decisions independently and reports results at the next scheduled meeting.


  • At least two years of experience or a recent college graduate with a professional and positive demeanor
  • Strong computer skills (MS Office Suite) and organizational skills
  • Entry level professional salaried position

Essential Functions:

  • Perform tasks, projects and draft correspondence, memorandum, etc., for the department heads’ (or higher) signature
  • Communication on behalf of the president with department heads, outside directors and other sources
  • Coordinate on-site and off-site meetings, calendars and make travel arrangements
  • Prepare agendas, materials related thereto, and see that all legal requirements are met
  • Responsible for establishing and maintaining official documents and records in appropriate files
  • Maintain shareholder stock records and distributes quarterly
  • Attend meetings to take notes, minutes or furnish information
  • Perform research for projects or legal matters
  • Receive visitors and manage calls coming with professional courtesy including complaints, requests for information, and vendor contacts which may be resolved or referred to proper person for resolution
  • Perform other tasks or projects as assigned

Certifications, Licenses, Registrations and other Requirements:

  • Ability to lift up to 10 lbs., sit, stand, walk, bend, twist and reach with arms and hands

Knowledge and Skills:

  • Associates Degree preferred
  • Four to ten years of administrative support experience within a comparable corporate environment
  • Expertise in general office management procedures and performing complex administrative support functions with excellent oral and written communication skills
  • Highly proficient in the use of the Microsoft Office Suite (including Outlook and PowerPoint)
  • Ability to communicate effectively with dealers, management, shareholders, customers, outside vendors, personnel by telephone, or through written communication; assimilate information and make decisions; work under pressure in a detailed, organized manner
  • Highly refined ability to use discretion with regard to confidential information
  • Ability to understand, interpret and communicate pertinent policies and procedures clearly and accurately
  • Ability to establish and maintain effective working relationships with supervising personnel, co-workers, the media, representatives of all levels, civic organizations, business professionals, and the general public
  • Possess sound judgment and flexibility in balancing competing priorities
  • Ability to project a positive and professional image
