The Staff Accountant is responsible for monitoring and maintaining all financial information, including the preparation of the monthly financial statements for each assigned business entity or management property.

  • Responsible for adhering to and complying with the terms schedules outlined in the management agreements and tenant leases
  • Maintenance of all related accounting records, schedules and tax returns for the assigned portfolio
  • Responsible for effectively researching, tracking and resolving (or properly referring) accounting or documentation problems and discrepancies as well as establishing and maintaining effective communication and coordination with company personnel and with management

Key Responsibilities:

  • Develop, administer, and maintain systems and procedures as outlined in the the client’s Tampa Bay, Central and Southwest Florida Property Management Policies and Procedures Manual
  • Preparation of complete financial reports for assigned portfolio on cash or accrual basis
  • Reconcile general ledger balances and update work papers for all accounts; including but not limited to cash, accounts receivable, utility and security deposits, prepaid accounts and escrows, accounts payable, notes and mortgage payable, payroll tax and sales tax payable as well as capital accounts
  • Prepare monthly management fee calculations
  • Review and approve work prepared by accounting clerks, either as it occurs or during financial review/preparation
  • Review and forecast of cash balances and cash management
  • Prepare owner distributions or funding requests as required
  • Prepare bank reconciliations
  • Prepare monthly sales tax return (if applicable)
  • Review utility billings (as needed)
  • Ensure AP and AR are current and accurate
  • Monitor and assist the Client Accounting Manager with the collection of corporate AR
  • Assist PM in preparation of annual operating budgets
  • Assist PM in preparation of CAM billings
  • Maintain and update tenant information in Yardi (or other accounting software system)
  • Verify vendor tax information has been supplied prior to adding a vendor into the accounting software
  • Follow proper procedures when ordering office supplies
  • Maintain work papers and supporting documentation, and approvals for entries, adjustments, and calculations – either electronically on the network/portal or hard copies
  • Assist Client Accounting Manager with the set up and transition of incoming and outgoing assignments
  • Attend and participate in meetings as required
  • Assist in the preparation of lease estoppels for property sale or finance transactions as required by management
  • Communicate all issues relating to the assigned property with Property Manager and/or Client Accounting Manager
  • Compliance with Energy Star, sustainability program, preferred provider program, quality assurance program, disaster program, and customer service/tenant retention program
  • Adhere to the policies set forth in the policy and procedure manual
  • Other duties as assigned


  • Minimum of 3 years of experience as an Accountant performing general ledger and financial reporting functions in a high growth environment
  • High School diploma is required
  • A Bachelor’s degree in Accounting or Finance is preferred
  • Previous commercial property management accounting experience is preferred
  • Thorough knowledge of cash and accrual basis accounting
  • Excellent computer skills with a high degree of proficiency in Excel, Word, and other accounting software
  • Working experience with Yardi, MRI, Nexus, or Avid is preferred
  • Independent, self-starter, team player with the ability to build consensus and effective relationships in a cohesive business environment
  • Provide high degree of professional customer service to both internal and external parties
  • Excellent communication, inter-personal and excellent telephone skills
  • Able to work comfortably under pressure, deal with multiple deadlines, effectively handle stressful situations, deal intuitively with situations, and work with minimal direction/supervision
