Oracle Position Title: IT Project Coordinator

Working Position Title: Project Coordinator- WVO Project Management Office

The IT Project Coordinator will support the IT Program Manager with the management, planning and execution of program activities and artifacts during all phases of an IT program.  The IT Project Coordinator will be responsible for maintaining and reporting accurate budget, schedule and program performance/metric information. Contribute to program presentations facing business and IT leadership, meeting agenda/minutes and facilitates action items and follow up.

Additionally, the IT Project Coordinator may also independently lead small projects or initiatives based on budget or technical complexity. As a lead on small projects, the IT Project Coordinator will be accountable and responsible for ensuring project tracks to budget & schedule commitments and communicate status to IT and business.  The coordinator will follow PMO processes for budget, schedule, scope and risk management on their projects.

The IT Project Coordinator will support and facilitate PMO initiatives – including process improvement activities, tollgates, quality management and audits.

Essential Job Functions:

1 Manage and report on program or project financials, forecasts spend & resource demand, tracks planned to actual spend and resource utilization.25%
2 Manage to program or project schedule and work plans for required deliverables.25%
3Maintain risks, issues and project changes using appropriate and approved tools or processes.  Lead the impact assessment activities of risks or changes on project schedule and budget following best practice project management methodology.25%
4Lead other IT PMO activities including – weekly project/program status report consolidation, PMO team and portfolio/tollgate meeting notes, action items, project/clarity task creation.15%
5Facilitate IT PMO quality management activities including audits of key artifacts & tollgate deliverables ensuring PCI/SOX compliance. Participant in IT continuous improvement or process excellence initiatives to streamline or improve project processes and delivery.10%

Travel Requirements:

Minimum Requirements and Qualifications:

  • Associates degree or equivalent work experience
  • CaPM or PMP certification preferred

Knowledge and Skills:

  • Strong verbal communication skills to interact with IT leadership, IT program/project leadership, business customers, and  program/project teams
  • Strong written communication skills for authoring or maintaining project artifacts, publishing project status, change requests, action logs, risk/issue management or escalation
  • Strong customer service skills including written and verbal
  • Contribute to risk/issue resolution with program leadership and team

Technical Skills:

  • Intermediate skill level in MS Outlook, Word, Excel, PowerPoint, Project
  • Experience with MS Visio and Ca/Clarity preferred

Job Experience:

  • 3+ years experience office administration
  • 2+ years experience managing projects or initiatives using PMLC methodologies
  • 2+ years experience managing projects in a matrix environment

  • Will provide guidance and recommendation to project managers on processes, tools, templates
  • Will support Program Manager in managing & executing program/project activities – including budget, schedule, scope and risk management
  • Matrix level authority on program/project activities

Scope/Financial Responsibilities:

  • This position will follow project management best practices for budget management.
  • This position will process project invoices upwards of one million dollars.
  • This position will manage program/project budgets up to several million dollars.

Organizational Relationships & Additional Competencies:

  • Work with PMO leadership, Program/Project Managers, Delivery Leads, Business leads on a daily to weekly basis
  • Develop and sustain relationships with the team; maintain a positive work environment
  • Understand and consistently manage both business and internal IT customer expectations of the project
  • Provide input to performance appraisal on the project activities for participating team members
  • In support of the Program Manager, provide direction and guidance to other team players
  • Support internal process improvement efforts; solution-oriented
