Description:

Responsible for supporting the Business Analysis department. Must be extremely organized and enjoy the administrative challenges of supporting multiple executives. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality are crucial to this role. Perform various routine clerical and general office duties including telephone reception, record and file maintenance, preparation and distribution of reports, meeting coordination, etc. Complete other general duties as assigned.

Responsibilities:

  • Systematically organize and maintain purchase order files for easy access and in accordance with internal procedures
  • Assemble and compile data for reports or presentations from established sources
  • Print and distribute internal reports as requested
  • Schedule vendor meeting rooms with receptionist
  • Manage phone calls, messages and call backs to follow up
  • Update and chase delegated tasks to ensure progress to deadlines

Qualifications:

  • Require strong organization and communication skills, keystroke accuracy, and the ability to meet deadlines
  • Must possess professional telephone etiquette to properly screen and refer calls, including positive, business decorum to greet vendors, guests and visitors at the home office
  • Ability to operate all office equipment, including fax and copy machines

Requirements:

  • Minimum 1 year experience in an administrative or clerical role, supporting one or more persons at a middle management and/or executive level
  • Intermediate proficiency in Microsoft Word, and Excel applications

Physical Environment: 

  • Primary responsibilities require sitting desk side, operating and viewing a computer and other business equipment for up to 12 hours
  • Must be able to lift, carry and move items up to 25 lbs. in weight
  • While performing the duties of the job, the employee is regularly required to stand, walk, sit, talk, hear and see
