Description:

The Administrator, Human Resources, NA provides administrative support on the day-to-day operations of the Human Resources function as well as assisting with leave management and I-9 compliance. This position requires the utmost professionalism and discretion and the ability to handle sensitive and confidential company information and documents. The Administrator, Human Resources, NA must be extremely organized and passionate about the administrative challenges of supporting a function. The ability to interact with associates at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient; with a high level of professionalism and confidentiality is crucial to this role.

Responsibilities: 

  • Contract with intent to go permanent
  • Complete a broad variety of administrative tasks including but not limited to completing expense reports; composing and preparing correspondences that are sometimes confidential; arranging complex and detailed travel and meeting plans, itineraries, and agendas; managing active calendars; administering invoices; reserving meeting locations; and reviewing and addressing mail appropriately
  • Prepare and maintain reports and documents, such as the OrgChart, that are necessary to carry out the function of the  HR department; prepare periodic documents/reports for management, as necessary or requested
  • Work closely and effectively with the HR Team to ensure the team is informed of upcoming commitments and responsibilities, following up appropriately
  • Administer leave of absence process through client
  • Ensure appropriate communication to business partners to ensure minimal disruptions to the business, partnering with internal legal department as needed
  • Assist Manager, Human Resources, NA with I-9 compliance: oversee the I-9 reporting process; in partnership with Regional Administrative Assistants, ensure I-9s are complete and up to date as per Homeland Security requirements; collaborate with core support team for I-9s to support and develop initiatives for continued compliance
  • Administer background check process by monitoring background check reports, partnering with internal legal department and issuing pre-adverse action letters as needed, maintaining records of consent files, and forwarding copies of background checks to those who are eligible to receive a copy
  • Respond to requests for subpoenas and employee verification promptly while partnering with appropriate departments as needed

Experience and Qualifications: 

  • Bachelor’s degree and/or equivalent with years of experience in similar role(s) supporting a fast paced, high performing department and team
  • Previous experience in HR or related field highly preferred
  • Superior attention to detail; anticipate future needs for both day-to-day tasks and projects
  • Highly proficient in Microsoft Office (Word, Excel and PowerPoint)
  • Working knowledge of PeopleSoft preferred
  • Ability to work with both vendors and associates at all levels in a professional, respectful, cooperative, and courteous manner
  • Demonstrate positive customer service and team-oriented demeanor
  • Ability to prioritize conflicting needs, handle matters expeditiously, and proactively and follow-through on projects to successful completion, often with deadline pressures
  • Must be a resourceful team player with the ability to act independently and adapt quickly to changes

Physical Demands:
