Job Summary:

The Executive Admin supports the Chief Legal Officer/General Counsel and provides the Legal Department with administrative help and acts as an internal departmental liaison to all internal and external stakeholders.

Duties & Responsibilities:

  • Answers requests for legal documents and maintains departmental files in current structural hierarchies and formats
  • Arranges meetings and maintains managers’ schedules; may facilitate and/or prepare for meetings as needed
  • Preparation of Board books for several different Boards and Committees, and may take minutes as needed
  • Controls operational aspects of the department including: Right fax, lien requests, outside counsel invoice tracking, maintenance of the legal library, routing the daily mail, office supplies, etc.
  • Documents proofreading, drafting, and editing in various software mediums
  • Other duties as requested by department managers
  • Screen calls for Chief Legal Counsel, works with CEO Executive Assistant as backup assistant in managing the phones and other administrative requests

Minimum Qualifications:

  • Basic knowledge of Corporate Governance and board meetings/books
  • Prior experience working as an Executive Assistant, preferably in a Legal Department
  • Microsoft Excel experience to include macros, pivot tables, and document editing
  • Microsoft Word experience to include creating letters and document editing
  • Microsoft PowerPoint experience to include creating presentations
  • Adobe Acrobat experience to include form creation/editing (Preferred)
  • Bachelor’s degree from an accredited institution
  • Paralegal experience
  • Notary public
