Description:
- Responsible for supporting the Apparel and Accessories department
- Must be extremely organized and enjoy the administrative challenges of supporting multiple executives
- The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality are crucial to this role.
- Perform various routine clerical and general office duties including telephone reception, record and file maintenance, preparation and distribution of buyer reports, meeting coordination, etc.
- Complete other general duties as assigned to support the buying department
Responsibilities:
- Accurate keying of data to create SKUs and purchase orders as directed by one or more buyers
- Input extensive data entry to create, modify and cancel purchase orders as directed by the buyer(s)
- Systematically organize and maintain purchase order files for easy access and in accordance with internal procedures
- Assemble and compile data for reports or presentations from established sources
- Print and distribute internal reports as requested
- Schedule vendor meeting rooms for buyer with receptionist
- Provide Buying and Allocation team with administrative and clerical assistance as relates to departmental and buying division needs
- Manage phone calls, messages and call backs to follow up
- Update and chase delegated tasks to ensure progress to deadlines
Skills/Qualifications:
- Requires strong organization and communication skills, keystroke accuracy, and the ability to meet deadlines
- Must possess professional telephone etiquette to properly screen and refer calls, including positive, business decorum to greet vendors, guests and visitors at the home office
- Ability to operate all office equipment, including fax and copy machines
Position Requirements:
- Minimum 2 years of experience in an administrative or clerical role, supporting one or more persons at a middle management and/or executive level
- Intermediate proficiency in Microsoft Word, Lotus Notes and Excel applications
