Description:

  • Responsible for supporting the Apparel and Accessories department
  • Must be extremely organized and enjoy the administrative challenges of supporting multiple executives
  • The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality are crucial to this role.
  • Perform various routine clerical and general office duties including telephone reception, record and file maintenance, preparation and distribution of buyer reports, meeting coordination, etc.
  • Complete other general duties as assigned to support the buying department

Responsibilities:

  • Accurate keying of data to create SKUs and purchase orders as directed by one or more buyers
  • Input extensive data entry to create, modify and cancel purchase orders as directed by the buyer(s)
  • Systematically organize and maintain purchase order files for easy access and in accordance with internal procedures
  • Assemble and compile data for reports or presentations from established sources
  • Print and distribute internal reports as requested
  • Schedule vendor meeting rooms for buyer with receptionist
  • Provide Buying and Allocation team with administrative and clerical assistance as relates to departmental and buying division needs
  • Manage phone calls, messages and call backs to follow up
  • Update and chase delegated tasks to ensure progress to deadlines

Skills/Qualifications:

  • Requires strong organization and communication skills, keystroke accuracy, and the ability to meet deadlines
  • Must possess professional telephone etiquette to properly screen and refer calls, including positive, business decorum to greet vendors, guests and visitors at the home office
  • Ability to operate all office equipment, including fax and copy machines

Position Requirements:

  • Minimum 2 years of experience in an administrative or clerical role, supporting one or more persons at a middle management and/or executive level
  • Intermediate proficiency in Microsoft Word, Lotus Notes and Excel applications
